Thank you for supplying your own fabric (COM — Customer's Own Material) for your order. This guide walks you through everything you need to do to ship your fabric to our Hong Kong office. Please read all steps before booking your shipment. If you have any questions, contact us first — unannounced or incorrectly documented shipments may be delayed or refused.
1

Confirm your order before shipping

Do not ship fabric until you have received a confirmed COM order from us with a reference number. You will need this number on all shipping documents.

  • Verify the yardage matches your confirmed COM order exactly
  • Check that your fabric type is one we accept: solution-dyed acrylic, polyolefin, or polyester
  • Contact us if you are unsure about quantity or fabric suitability before purchasing or shipping
Do not over-ship. Sending more fabric than ordered causes customs complications and the excess may be returned at your expense.

2

Prepare and label your fabric

Before packaging, make sure each roll or bolt is ready:

  • Fabric should be on rolls or neatly folded — not loosely bundled
  • Label each roll with: fabric type, color/pattern name, yardage on that roll, and your order reference number
  • Fabric must be clean, dry, and free of damage or staining

3

Package for international transit

  • Wrap each roll in plastic sheeting or poly bags to protect from moisture
  • Place in sturdy cardboard boxes — double-wall recommended for rolls over 10 kg
  • Do not over-fill; boxes should close flat without forcing
  • Mark each box on the outside: TEXTILE — MANUFACTURING SAMPLE — KEEP DRY
  • If shipping multiple boxes, number them: 1 of 3, 2 of 3, etc.

4

Complete your customs documents

You are required to provide two customs documents with your shipment: a Commercial Invoice and a Packing List. Use our document generator (link below) to fill everything in at once — both documents are produced from the same form.

When completing the documents, use the following details for your fabric type:

Fabric type Description to enter HS code*
Solution-dyed acrylic Woven upholstery fabric, solution-dyed acrylic, 85%+ synthetic staple fibers 5512.19
Polyolefin Woven upholstery fabric, polyolefin (polypropylene), high-tenacity yarn 5407.20
Polyester Woven upholstery fabric, solution-dyed polyester, 85%+ synthetic staple fibers 5512.19
* HS Code notice: These codes are provided as a guide. They have not been formally confirmed by a licensed customs broker. You are responsible for the accuracy of your customs declaration. If in doubt, consult a broker before shipping.
AES / EEI filing: If the total declared value of your shipment exceeds USD $2,500, US law requires you to file Electronic Export Information (EEI) through the Automated Export System (AES) before the shipment leaves the US. Your carrier (UPS or FedEx) can assist with this. You will receive an Internal Transaction Number (ITN) — enter this in the document generator and write it on your Commercial Invoice.

Attach documents and notify us

  • Print the Commercial Invoice and Packing List from the document generator
  • Place both printed documents in a clear plastic envelope
  • Attach the envelope securely to the outside of your shipment and mark it: DOCUMENTS ENCLOSED
  • Keep a copy of all documents for your own records
  • Email us your tracking number and order reference number as soon as your shipment is booked — do not ship without notifying us first
Always notify us before shipping. Unannounced shipments may not be received or may be delayed at our facility.
